We are seeking a highly organized and proactive Senior Representative, Business Support to manage office facilities, workplace operations, and administrative functions. This role plays a critical part in ensuring a safe, efficient, and engaging work environment while partnering with internal stakeholders and external vendors.
Key Responsibilities:
Facilities & Office Operations
Oversee daily operations across multiple office locations in Japan
Manage vendor relationships (building management, service providers)
Maintain office assets, supplies, layouts, and meeting room environments
Support onboarding and offboarding processes
EHS (Environment, Health & Safety)
Ensure workplace safety, fire prevention, and disaster preparedness
Coordinate safety drills, emergency system testing, and employee training
Manage EHS reporting, inspections, and compliance activities
Employee Engagement
Organize and support internal engagement initiatives and company events
Process Improvement
Drive continuous improvement initiatives, including SharePoint management
Financial & Administrative Support
Process purchase orders and manage vendor registrations
Governance & Leadership Support
Support board meetings, shareholder activities, corporate filings, and contract management
Provide administrative and business support to senior leadership
Requirements:
Bachelor’s degree or equivalent with 5+ years of relevant experience
Experience in facilities management, office administration, or general affairs
Strong vendor management and negotiation skills
Working knowledge of Japan EHS and workplace safety regulations
Business-level English proficiency
Strong organizational skills with the ability to manage multiple priorities
Proficiency in Microsoft Office and SharePoint
Preferred:
Experience supporting finance, governance, or legal administrative processes
Ability to collaborate effectively across local and global teams

施設・オフィス運営スペシャリストは、オフィス施設、職場環境、および一般的な管理業務の管理・維持を担当し、安全で効率的、かつ従業員にとって働きやすい職場環境の確保に努めます。
また、社内関係者や外部ベンダーとの主要な連絡役を務め、レイアウト変更を含むオフィス関連プロジェクトを主導します。
【主な業務内容】
施設・オフィス運営:
・日本国内の複数オフィスにおける日常的なオフィス運営を管理します。
・ビル管理会社およびサービスベンダーとの連携を行います。
・オフィス用品、固定資産、オフィスレイアウト、会議室環境の管理を行います。
・入社・退職手続きをサポートします。
EHS(環境・安全・衛生):
・職場の安全、防火、災害対策を維持します。
・避難訓練、緊急連絡システムテスト、従業員安全研修を調整します。
・EHSに関する報告、検査、法令遵守活動を管理します。
従業員エンゲージメント:
・従業員エンゲージメント施策および社内イベントの支援と実施を行います。
業務効率化:
・SharePointサイト管理を含む業務改善プロジェクトに貢献します。
財務サポート:
・オフィス関連の発注書の処理およびベンダー登録の管理を行います。
法務・ガバナンスサポート:
・取締役会および株主総会、企業登記、契約管理、社印管理をサポートします。
エグゼクティブディレクター兼マネジメント:
・上級管理職およびリーダーシップチームに対し、管理およびビジネス面でのサポートを提供します。
