About the role

We’re looking for a high-agency, part-time Executive Assistant to work directly with the Founder of Eino as we scale from early commercial traction into the next stage of growth.

This role is for someone who has supported founders or senior executives at fast-moving venture-backed startups, ideally Seed to Series A. You’ll help create leverage across email, scheduling, travel, recruiting coordination, light sales support, and general founder operations.

You’re not just a scheduler. You are a trusted operator who can manage details, anticipate needs, follow through without being chased, and help the Founder stay focused on the highest-leverage work.

What you’ll own

Founder communications

  • Draft, edit, and organize emails on behalf of the Founder
  • Help manage inbox triage, prioritization, and follow-ups
  • Turn short notes or verbal direction into clear, polished messages
  • Track commitments and make sure important threads do not fall through the cracks

Calendar + scheduling

  • Manage scheduling across customers, candidates, investors, partners, and internal team members
  • Coordinate meetings across time zones
  • Prepare meeting agendas, notes, and follow-up items
  • Protect founder time by helping prioritize what matters most

Travel + logistics

  • Book flights, hotels, transportation, and meeting logistics
  • Build clean travel itineraries
  • Handle changes, cancellations, and last-minute coordination
  • Support event, conference, and customer-visit planning as needed

Recruiting support

  • Help source and organize candidates for early-stage roles
  • Draft candidate outreach messages
  • Coordinate interviews and follow-ups
  • Maintain simple recruiting trackers and ensure candidate communication is timely

Sales + business support

  • Support basic prospect and account research
  • Draft outbound emails and follow-up messages
  • Help maintain light CRM or pipeline hygiene
  • Prepare simple customer, partner, or investor meeting briefs

Founder operations

  • Keep track of action items, priorities, and open loops
  • Help create lightweight systems for follow-through
  • Proactively identify where the Founder needs support
  • Operate with discretion, urgency, and strong judgment

Responsibilities

  • Provide day-to-day operational support to the Founder.
  • Draft and manage communications with candidates, customers, investors, partners, and internal stakeholders.
  • Own calendar management, scheduling, and meeting coordination.
  • Support travel planning and logistics.
  • Assist with initial recruiting workflows, including sourcing, outreach, coordination, and tracking.
  • Support basic sales operations, including research, follow-ups, and pipeline organization.
  • Create structure around founder priorities, follow-ups, and recurring workflows.
  • Handle sensitive information with discretion and professionalism.

Required qualifications

  • 3+ years of experience as an Executive Assistant, Founder Assistant, Chief of Staff associate, Operations Assistant, or similar role.
  • Experience working directly with a Founder, CEO, or senior executive.
  • Experience in fast-moving startup environments, ideally Seed or Series A.
  • Excellent written communication skills.
  • Strong calendar, inbox, and task-management discipline.
  • Highly organized, detail-oriented, and reliable.
  • Comfortable operating with ambiguity and limited instruction.
  • Strong judgment around prioritization, tone, confidentiality, and urgency.
  • Able to work independently and proactively.

Preferred / nice-to-have

  • Experience supporting a technical founder.
  • Experience at an enterprise SaaS, AI, infrastructure, telecom, or deep-tech startup.
  • Familiarity with tools such as Gmail, Google Calendar, Slack, Notion, LinkedIn, HubSpot, Salesforce, Ashby, Greenhouse, or similar systems.
  • Experience with candidate sourcing and recruiting coordination.
  • Experience supporting sales follow-up, CRM hygiene, or customer meeting preparation.
  • Based in NYC or able to occasionally support NYC-based meetings/logistics.

  • Travel and logistics are smooth, even when plans change.
  • The Founder gains meaningful weekly leverage and fewer operational details fall through the cracks.
