About the role
We’re looking for a high-agency, Founder Operations Associate to work directly with the Founder of Eino as we scale from early commercial traction into the next stage of growth.
This is a founder-leverage role. You’ll help the Founder move faster and operate better across email, scheduling, travel, recruiting coordination, sales support, meeting follow-up, research, and day-to-day operating rhythm.
This is not a traditional admin-only Executive Assistant role. The right person combines strong executive support fundamentals with modern AI fluency, operational judgment, and the ability to build lightweight systems that make recurring work faster, cleaner, and more reliable.
You should be comfortable turning messy founder input — short notes, forwarded emails, voice memos, meeting transcripts, bullets, or rough ideas — into polished communications, organized follow-ups, research briefs, trackers, and clear next steps.
What you’ll own
Founder communications
- Draft, edit, and organize emails on behalf of the Founder.
- Help manage inbox triage, prioritization, and follow-ups.
- Turn short notes, bullets, or rough direction into clear, polished messages.
- Adapt tone for candidates, customers, investors, partners, and internal team members.
- Track commitments and make sure important threads do not fall through the cracks.
Calendar + scheduling
- Manage scheduling across customers, candidates, investors, partners, and internal stakeholders.
- Coordinate meetings across time zones.
- Prepare meeting agendas, notes, and follow-up items.
- Protect Founder time by helping prioritize what matters most.
- Identify conflicts, missing context, and meetings that need preparation.
Travel + logistics
- Book flights, hotels, transportation, and meeting logistics.
- Build clean travel itineraries.
- Handle changes, cancellations, and last-minute coordination.
- Support conferences, events, customer visits, investor meetings, and team logistics as needed.
Recruiting support
- Help source and organize candidates for early-stage roles.
- Draft candidate outreach messages and follow-ups.
- Coordinate interviews and candidate communications.
- Maintain recruiting trackers and ensure timely follow-through.
- Help summarize candidate profiles, resumes, LinkedIn profiles, and interview feedback.
Sales + business support
- Support basic prospect, customer, partner, and account research.
- Draft outbound emails and follow-up messages.
- Help maintain light CRM or pipeline hygiene.
- Prepare simple customer, partner, or investor meeting briefs.
- Track next steps from sales and business development conversations.
AI-enabled founder leverage
- Use AI tools such as ChatGPT, Claude, Notion AI, Perplexity, and Fathom to increase speed and quality across founder operations.
- Build lightweight AI-assisted workflows for recurring tasks such as email drafting, meeting summaries, recruiting outreach, sales follow-up, research briefs, CRM updates, and action-item tracking.
- Turn Fathom transcripts, call notes, and rough founder input into follow-ups, summaries, task lists, and operating trackers.
- Use Perplexity and other research tools to prepare concise briefs on people, companies, prospects, investors, candidates, events, and markets.
- Create reusable prompts, templates, trackers, and workflows that make recurring work faster and more reliable.
- Apply strong judgment, confidentiality, and fact-checking when using AI tools, especially with sensitive customer, candidate, investor, employee, or company information.
Responsibilities
- Provide day-to-day operational support to the Founder.
- Draft and manage communications with candidates, customers, investors, partners, and internal stakeholders.
- Own calendar management, scheduling, and meeting coordination.
- Support travel planning and logistics.
- Assist with initial recruiting workflows, including sourcing, outreach, coordination, and tracking.
- Support sales operations, including research, follow-ups, meeting prep, and pipeline organization.
- Use AI tools to improve speed, quality, and consistency across recurring founder workflows.
- Build lightweight AI-assisted systems for meeting follow-up, recruiting, sales support, research, and task tracking.
- Create structure around Founder priorities, commitments, follow-ups, and open loops.
- Handle sensitive information with discretion and professionalism.
- Proactively identify where the Founder needs leverage and take ownership without waiting to be asked.
Required qualifications
- 3+ years of experience as an Executive Assistant, Founder Assistant, Founder Operations Associate, Chief of Staff associate, Operations Associate, or similar role.
- Experience working directly with a Founder, CEO, or senior executive.
- Experience in fast-moving startup environments, ideally Seed or Series A.
- Excellent written communication skills.
- Strong calendar, inbox, and task-management discipline.
- Strong fluency with modern AI productivity tools, including ChatGPT, Claude, Notion AI, Perplexity, and AI meeting tools such as Fathom.
- Experience building lightweight AI-assisted workflows that improve executive productivity.
- Comfortable using AI to support email drafting, meeting notes, research, recruiting coordination, sales follow-up, and task management.
- Strong judgment in reviewing, editing, and validating AI-generated work before it is shared externally.
- Understands confidentiality and knows how to handle sensitive information responsibly when using AI tools.
- Highly organized, detail-oriented, and reliable.
- Comfortable operating with ambiguity and limited instruction.
- Strong judgment around prioritization, tone, confidentiality, and urgency.
- Able to work independently and proactively in a fast-moving environment.
Preferred / nice-to-have
- Experience supporting a technical founder.
- Experience at an enterprise SaaS, AI, infrastructure, telecom, or deep-tech startup.
- Experience using AI tools alongside Gmail, Google Calendar, Slack, Notion, LinkedIn, CRM tools, and recruiting tools.
- Experience creating reusable prompts, templates, trackers, or automations for founder operations.
- Familiarity with workflow tools such as Zapier, Make, Airtable, Notion databases, or similar systems.
- Experience turning meeting transcripts into action items, follow-ups, CRM notes, and internal summaries.
- Experience with candidate sourcing and recruiting coordination.
- Experience supporting sales follow-up, CRM hygiene, or customer meeting preparation.
- Based in NYC or able to support NYC-based meetings, logistics, and founder needs when required.
