About the role
Healthie is hiring an Operations & Special Projects Associate, reporting to our Chief of Staff. This individual will be instrumental in ensuring seamless coordination within the Executive Office and across all departments, acting as a thought partner in driving forward Healthie’s priorities around innovation, customer experience, and operational excellence. In this role, you will assist the Chief of Staff with day-to-day operations, including policy and process analysis, preparing internal and external communications, and ensuring clear alignment on executive priorities. As a member of CEO’s office, you will coordinate cross-functional initiatives alongside senior leaders and key stakeholders at the company.
You’ll be expected to own and execute a wide range of special projects and time-sensitive assignments, with a strong focus on identifying issues, clearly communicating them, and executing effective solutions. A core part of this role includes building and refining internal processes, operational workflows, and documentation to enhance efficiency and drive consistency across the organization. You’ll join customer meetings and serve as an important voice in the room for leadership offsites and company-wide retreats.

- This is a full-time, hybrid position located in our NYC HQ
- U.S. Work Authorization is required
- The salary range is $80,000-$90,000
About you
- You have 1-2 years of experience in operations, project management, or a similar cross-functional role—ideally within a high-growth SaaS or healthcare technology company. You’ve supported senior executives and know how to drive outcomes without needing constant direction.
- You are hungry, curious, and have an insatiable thirst to learn and grow. You actively seek feedback, look for ways to stretch your skill set, and are excited by the opportunity to evolve alongside a scaling company.
- You hold yourself to the highest standard when it comes to the quality and execution of your work. For you, the job isn’t done until it’s done right — regardless of whether that falls inside or outside of traditional 9-to-5 hours. You’re motivated by outcomes and impact, and you’re comfortable putting in extra time, including evenings or weekends when needed, to ensure things move forward and nothing falls through the cracks.
- You’re a generalist with a broad skill set. From drafting executive communications and building project trackers, to owning event logistics and improving internal processes—you’re comfortable navigating ambiguity and wearing many hats to get the job done.
- You’re an exceptional communicator—especially in writing. You can take complex, often high-stakes ideas and translate them into clear, actionable narratives. You communicate proactively and with precision, and are comfortable drafting internal updates and talking points for senior leaders.
- You are highly organized, self-directed, and thrive in a fast-paced, ever-changing environment. You know how to manage competing priorities, move initiatives forward, and follow through on details—often under tight deadlines.
- You take initiative, ask smart questions, and embrace the challenge of figuring things out. - You’re comfortable working with modern tools and platforms to manage workflows and information. Experience with tools like Notion, Google Workspace, Slack, Monday, Asana, or similar is a plus. You embrace learning new technology, and have an open mind about adopting new tools into your processes.
