About the Company

Heatseeker is building the category-defining market experiments platform, helping enterprise teams make faster, smarter decisions by testing what real customers actually respond to. We’re seeking an ambitious Chief of Staff to accelerate our founding team’s impact. This role combines tactical execution with strategic operations—your direct path to general management by defining our operational DNA as we scale.

About the Role

**Please note this role will be primarily remote but candidates must be based on the west coast, ideally in California, for crossover with the AU team **

Your Growth Path

Within 3 months:

  • Own founders' calendars, inboxes, and meeting prep
  • Build operating systems in Notion/Slack/HubSpot for project visibility
  • Ensure every meeting has agenda, prep, and documented outcomes

Within 6-12 months:

  • Run operating cadence (exec syncs, hiring pipeline, investor updates)
  • Own high-impact cross-functional projects across product, customer success, or growth
  • Build dashboards and KPI tracking for leadership decisions
  • Lead investor relations, board prep, and external event coordination

Responsibilities

Founder Effectiveness

  • Manage calendars, meetings, inboxes, and logistics
  • Prep agendas and decks for internal/external meetings
  • Drive action item follow-through—nothing falls through cracks
  • Synthesize complex information into clear decision briefs
  • Anticipate needs and eliminate friction

Systems & Operations

  • Maintain and enhance Notion, Slack, HubSpot, Google Drive workflows
  • Build trackers and dashboards for project visibility
  • Automate low-leverage tasks and establish scalable frameworks
  • Process expenses, subscriptions, and vendor invoices
  • Track SaaS costs for optimization opportunities

Financial & Board Reporting

  • Compile financial KPIs (ARR, ACV, burn multiple, runway, CAC, LTV)
  • Draft monthly/quarterly board packs with metrics and highlights
  • Support ESOP administration and vesting schedules
  • Manage insurance renewals (D&O, liability, cyber)

Strategic Projects

  • Lead cross-functional initiatives in product, ops, customer success, growth
  • Create sharp communications for internal decision-making
  • Support hiring, onboarding, and culture initiatives
  • Conduct strategic analysis and competitive intelligence

External Relations

  • Coordinate speaking opportunities, media, partnerships, investor meetings
  • Manage travel, events, and offsite logistics
  • Draft materials for key external moments
  • Support partnership development and investor relations

Qualifications

You’re a recent MBA graduate (or equivalent experience) with:

  • Strategic mindset with strong analytical thinking
  • Startup experience with bias for action and continuous improvement
  • Technical fluency—quick to learn and implement new tools
  • Executive presence comfortable managing up and across
  • Clear communication and logical thinking
  • Discretion and trustworthiness in handling confidential information
  • High emotional intelligence and reliability
