Job description

We’re looking for outstanding talents to join our amazing team in Paris!

The Administrative Assistant (Finance & Marketing) will provide high-level administrative support to ensure efficient operation of the office, with additional responsibilities in finance and marketing. This role involves handling various administrative tasks, supporting financial operations, and assisting in marketing efforts. The ideal candidate will be resourceful, organized, and self-motivated, capable of managing their workload and prioritizing tasks in a fast-paced environment.

Responsibilities

Administrative Tasks:

  • Perform general administrative tasks

  • Coordinate and schedule meetings, appointments, and travel arrangements.

  • Prepare and edit correspondence, communications, presentations, and other documents.

  • Assist in the preparation of regularly scheduled reports.

  • Develop and maintain a filing system.

  • Provide support to the management team as needed.

  • Performing administrative work and office management tasks

Finance Tasks:

  • Maintaining the internal accounting records of the company for proper cash flow planning and collaboration with our accounting contractor

  • Contributing to the budgeting strategy and the good allocation of resources

  • Assisting fundraising efforts and preparation of financial documents

  • Screening and applying to relevant grants or other development programs

  • Preparing monthly reporting for the finance team, the management, and the shareholders with recommended courses of action

  • Updating the internal market analysis of the company to support the overall financial strategy

Marketing Tasks:

  • Assist in the development and implementation of marketing strategies and campaigns.

  • Maintain and update the company's social media profiles and website.

  • Help create marketing materials, such as brochures, flyers, and newsletters.

  • Coordinate and organize marketing events and promotions.

  • Monitor and report on the effectiveness of marketing campaigns.

  • Conduct market research to identify trends and opportunities.

Qualifications:

  • High school diploma or equivalent; college degree in business, finance, marketing, or a related field preferred.

  • Proven experience as an administrative assistant or office admin assistant, with additional experience in finance and/or marketing.

  • Knowledge of office management systems and procedures.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Familiarity with basic accounting principles and financial software.

  • Experience with social media platforms and marketing tools.

  • Excellent time management skills and the ability to prioritize work.

  • Attention to detail and problem-solving skills.

  • Excellent written and verbal communication skills.

  • Strong organizational skills with the ability to multi-task.

Preferred Experience

  • Previous internship or work experience in marketing or a related field.

  • Experience with graphic design software (Adobe Creative Suite, Canva).

  • Knowledge of LinkedIn analytics and Google Analytics

  • Basic understanding of digital marketing concepts and tools (SEO, Google Analytics, email marketing).
