About the RoleWe’re hiring a Chief of Staff to work directly with the CEO and help run the operating system of the company.This is an IC-heavy role with significant leadership exposure. You’ll act as an extension of the CEO — owning execution across core company rhythms, driving strategic initiatives, and ensuring clarity, accountability, and follow-through across the organization.This is not an executive assistant role. We already have EA support in place. This role is strategic, operational, analytical, and hands-on.We’re looking for someone excited to be in this role for at least 2–3 years, with flexibility in how it can evolve over time based on company needs and individual strengths.What You’ll DoRun the Executive Operating SystemOwn the cadence, structure, and quality of leadership team meetingsBuild agendas, decision logs, follow-ups, and accountability mechanismsEnsure leadership meetings result in clear decisions and actionOwn and evolve company-level operating processes (e.g. OKRs), with explicit authority in defined areasBoard, Investor & Executive CommunicationsPartner with the CEO on board decks, investor updates, and executive memosDraft and refine written communications, sometimes sending on the CEO’s behalfEnsure executive narratives are clear, consistent, and grounded in dataSupport fundraising preparation as neededStrategic Projects & Cross-Functional ExecutionOwn or drive special projects that sit on the CEO’s plateTake ambiguous problems, structure them, and push them to completionCoordinate across teams when initiatives span multiple functionsKnow when to “call the play” vs. when to recommend and influenceData, Reporting & Strategic Finance PartnershipOwn or significantly contribute to company-level reporting and dashboardsEnsure the right data reaches the right leaders at the right timeWork very closely with the Head of Strategic Finance on:Strategic initiativesAnalysis and planningBoard- and investor-facing reportingBe highly hands-on in Excel; willing to learn SQL and go deeper into data systemsAI, Automation & LeverageMake AI and automation a core part of how the company operatesIdentify workflows, reporting, and processes that can be automated or improved using AI toolsPrototype and implement solutions that increase speed, quality, or insightHelp leadership teams adopt AI-enabled ways of working as we scaleWho You AreMust-HavesExceptional written and verbal communicatorHigh-agency operator with a strong bias toward getting things doneComfortable representing the CEO in meetings and communicationsStrong grasp of business fundamentals and what matters in a SaaS companyHighly analytical; advanced Excel skills requiredExcited to learn SQL, AI tools, and modern data systemsNYC-based and excited to work in person regularlyBackgrounds We’re Excited AboutTraining in consulting, finance, or strategy, and/orOperating experience in a high-growth startup environmentPrior experience working closely with senior leadership is a plus2-10 years of experienceHow You’ll Operate (Low Ego, High Ownership)This role requires someone comfortable doing whatever moves the company forward, including:Chasing down inputs shortly before a board deadlineCleaning up a messy spreadsheet no one else wants to touchWriting a crisp memo one day and troubleshooting an operational issue the nextStepping in when something important is falling through the cracks — without being askedYou should be energized by responsibility, not titles, and motivated by outcomes, not visibility.Why This Role MattersThis role is central to how Intelligems scales.
