Proposal Operations & Systems Lead
Lifebit Biotech
Company Description
At Lifebit, we carve our own path. Trusted by Governments and world-leading pharma institutions and funded with $70m, we are on a mission to harness the power of connected data and bring precision medicine to life globally. The key to saving human lives is providing researchers across the globe with the right data to develop more precise drugs faster.
Generating large amounts of biomedical data has become relatively straightforward. The challenge now is finding, accessing and analysing this sensitive data stored across thousands of disconnected locations. It is frustrating and painfully difficult for researchers.
Lifebit has created a patented, federated technology that brings analysis and computation to where data resides. This enables researchers to run analyses on multiple, distributed datasets in-situ, avoiding the risky movement of highly-sensitive data.
Our Federated AI Platform is trusted by federal agencies, national health systems, and global pharma to securely unlock sensitive biomedical and real-world data at scale. We help federal health institutions modernize data utilization and analytics in highly protected environments, supporting mission-critical federal programs and transforming how secure health data drives public health and research.
Our technology is unmatched and momentum is on our side - and we need an exceptionally strong team to help boost Lifebit to incredible new heights.
The Opportunity
We are looking for a Proposal Operations & Systems Lead to turn our bid process into a competitive advantage. This is not a standard writing role; it is a strategic role for a systems thinker who appreciates that winning is 20% writing and 80% building the right systems.
As a high-agency "Quarterback," you will mobilize our Executive, Sales, and Technical teams to build winning narratives - owning both the final output and the engine that produces it.
We are looking for the structural rigor of a Strategy Consultant combined with the toolkit of an AI-native builder. You don't just use ChatGPT; you build workflows to automate the grunt work, allowing you to focus on the winning themes.
Core Responsibilities
1. The "Architect" (Process Design & Agent development)
- Operationalize the Bid Process: Define a winning bid process with a repeatable, scalable "Proposal Factory" workflow based on Lifebit’s winning themes and past proposals.
- AI workflows: Build AI agents and workflows that accelerate & improve the quality of the bid process. This includes building prompt libraries based on winning themes, automating the initial drafting phase via tools like Zapier/Make/Custom GPTs (or any other tools you think are suitable), and scoring responses against tender requirements & writing quality
- Deal Sourcing: Build agents that monitor opportunities from public databases across key geographies (UK, US, Europe, Singapore) and automatically notify Lifebit.
2. The “Writer” (Strategy & Content)
- End-to-End Ownership: Υou own the proposal lifecycle—from the "Go/No-Go" decision to the final "Submit" button. You are responsible for the storyboard, the writing, the formatting, and the final polish, working closely with our technical Solution Managers & Sales.
- Strategic Narrative: You don't just copy-paste answers. You apply "consulting rigor" (MECE, pyramid principle) to structure arguments that win, and that match requirements. You manage both technical language and convey compelling business value.
3. The "Orchestrator" (Cross-Functional Leverage)
- Extracting Expertise: You identify knowledge gaps in a proposal and pull in the right resources—interviewing a Solutions Engineer for technical specs or grabbing a CS Lead for a case study.
- Coordinating Across Teams: You manage the timeline. You hold internal stakeholders accountable for their inputs and ensure the final document speaks with "one voice".
Requirements
The role requirements below are just an indication of what we’re looking for - sometimes the perfect candidate is far more or less experienced than we anticipated. If you think that might be your case, please reach out and let us know!
- Experience: 3–5 years in management consulting and/or technical pre-sales in technology. You have managed projects with tight deadlines and high ambiguity.
- AI native: Highly proficient in common AI tools (e.g. ChatGPT/Claude/Gemini, no-code automation/agent building tools) and a strong desire to learn agent development skills. Note that coding experience is a plus, but is not required for the role.
- Proposal Writing Experience: 1+ years of experience with proposal writing and management is preferred, but strong consulting slide-writing skills translate well.
- Technical aptitude: Ability to translate dense technical concepts into clear business value. Subject matter expertise is a plus, but not required. We expect you to learn from our team.
- Zero-Ego Doer: Since this is an IC role, no task is "beneath you." You are happy to fix formatting issues in a Word doc at the 11th hour because you care about the quality of the final deliverable.
- Collaborative Influence: You know how to get busy people (Sales, Product, Execs) to give you what you need without having formal authority over them.
Benefits
- €40,000-55,000 gross annually, plus participation in the Lifebit Bonus Scheme.
- 25 days of annual leave plus the usual public holidays
- £1,000 per year personal budget for professional development ie Conferences, events, and training resources
- Fully remote work
- Opportunity to build core AI skills and unlock your full potential
- An international and diverse team
- Exposure to problems and applications in the cloud, data analysis, ML, life sciences, and big data fields
Why Join Us?
- Autonomy: We aren't looking for someone to follow a rulebook. We want you to write the rulebook.
- Tech-Forward: We believe the future of work is AI-assisted which can unlock incredible value. We will provide the support and tools to prove it.
- Impact: You aren't just a cog in a machine; you are building the revenue engine of the company that is solving humanity’s most important problems - better health for all.
