Role Overview
Improve and run the day-to-day of MediCircle’s operational playbook. You will document workflows, maintain metrics, and ensure quality across intake, recertification, fulfillment, and customer support. As processes stabilize, you will take ownership of a defined operational lane and help hire and train the team that runs it.
Responsibilities
Process execution and documentation: Build and maintain SOPs, checklists, and training materials for intake → recertification → fulfillment; keep versions current.
Quality and compliance controls: Apply QA checks and audit trails; ensure HIPAA/PHI handling and DSCSA/state requirements are followed in daily work.
Metrics and reporting: Maintain dashboards for throughput, SLA performance, and defects; flag risks early and drive resolution with owners.
Continuous improvement: Run well-scoped improvements to remove bottlenecks, reduce errors, and improve cost per prescription.
Vendor and tooling administration: Help administer tools (e.g., workflow trackers, CRM where relevant); coordinate with vendors for supplies, shipping, and services.
Team support: Assist with hiring, onboarding, and training of junior operators; provide clear instructions and feedback.
Domain ownership: Take end-to-end ownership of the core redistribution operations (medication intake, recertification, fulfillment, and everything in between) as the business grows.
Requirements
Operational execution: Experience running and improving repeatable processes in a regulated or quality-focused environment.
Documentation and communication: Strong written documentation; clear status updates; comfortable creating checklists and job aids.
Organization and follow-through: Able to manage multiple queues, deadlines, and dependencies reliably.
Data fluency: Comfortable with spreadsheets and basic dashboards; able to calculate and track SLAs/KPIs.
Healthcare context (working knowledge): Exposure to pharmacy, payer/PBM, lab, medical device, or similarly regulated operations.
Roll-Up-Your-Sleeves Mentality: You prefer to dive deep and understand workflows all the way from the bottom up. You like to jump in and help execute when necessary.
Preferred Qualifications
Familiarity with DSCSA concepts, chain of custody, or pharmacy operations.
Experience with workflow tools (e.g., Airtable, Smartsheet, Asana) and light automation.
Experience coordinating inspections, audits, or accreditation activities.
Experience training frontline operators or supervisors.
