We are seeking a highly organized, reliable, and welcoming Office & Facilities Manager to keep our Somerville headquarters running smoothly. In a fast-paced hardware startup, the office is the hub of our engineering and business operations. You will be the face of Mesodyne for everyone walking through our doors and the backbone of our daily office logistics. Your primary focus will be ensuring our physical workspace is secure, our team is equipped with what they need, and our day-to-day administrative, facility, and operational workflows are executed flawlessly.

Responsibilities:

  • Front Desk & Physical Security: Act as the first point of contact for the facility. Welcome and manage all guests, investors, candidates, and visitors, ensuring they are properly greeted, signed in, and escorted, maintaining our physical security protocols.
  • Shipping & Receiving: Own the daily inbound and outbound logistics for the office. Promptly accept, log, and distribute packages and mail so that critical engineering components and sensitive materials never sit outside, get lost, or get damaged.
  • Procurement & Expense Tracking: Assist the engineering and executive teams with purchasing and tracking lab components, equipment, and office supplies. Help collect receipts, reconcile corporate credit card expenses, and support basic accounts payable workflows.
  • Recruiting & Onboarding Support: Coordinate and schedule interviews for open engineering and business roles. Lead the physical onboarding for new hires, ensuring their desks, laptops, and welcome materials are ready on day one.
  • IT & Equipment Logistics: Manage the company's hardware inventory (laptops, monitors, peripherals) and handle basic software account provisioning (e.g., Google Workspace, Slack) for incoming and outgoing employees.
  • Facilities Coordination: Serve as the primary liaison with building management and external service vendors (cleaning, internet, maintenance) to ensure the facility is operating smoothly and any issues are resolved quickly.
  • Office Operations: Maintain a clean, organized, and welcoming office environment. Monitor and proactively restock office, kitchen, and basic facility supplies.
  • Administrative Support: Assist the executive team and staff with general administrative tasks, including meeting coordination, booking travel, catering orders for team lunches or investor visits, and vendor management.
  • Culture & Team: Help foster our dynamic startup culture by assisting with the planning and execution of team events, celebrations, and offsites.

Qualifications and Skills:

  • Experience: 2-4+ years of experience in office management, administration, HR coordination, or a similar organizational role. Previous experience in a fast-paced startup or tech environment is highly preferred.
  • Highly Organized: You have exceptional attention to detail and a proven ability to juggle multiple tasks, timelines, and priorities simultaneously.
  • Excellent Communicator: You possess strong written and verbal communication skills and a professional, welcoming demeanor for interacting with high-profile investors, candidates, vendors, and team members.
  • Tech-Savvy: Comfortable managing basic IT tasks, SaaS platforms (like Google Workspace, Slack systems), and learning new software quickly. Familiarity with basic expense software (Bill.com) is a plus.
  • Proactive Problem Solver: You don't wait to be told what to do; you anticipate needs, notice when things are running low or processes are broken, and take the initiative to fix them.
  • Adaptable: You thrive in a dynamic environment where no two days are exactly the same and you are comfortable wearing multiple hats.
  • Physical Requirements: Ability to lift and move standard office packages and deliveries safely.
