About the Role
We're hiring an Operations Coordinator / Executive Assistant to support our Operations team and executive leadership. This person will be instrumental in offloading day-to-day responsibilities from our CEO, Chief of Staff, and Senior Project Manager to keep everything running smoothly. The ideal candidate is organized, thoughtful, systems-minded, and excited to contribute to a wellbeing-focused business doing meaningful work.
Key Responsibilities
🛠 Operations Support
- Take on recurring ops tasks, document SOPs, and improve workflows
- Manage calendar invites and logistics for client-facing events
- Track and report on project progress and team deliverables
💰 Finance & Admin
- Prepare and send invoices
- Track payments and manage AR/AP
- Light bookkeeping in QuickBooks Online
- Coordinate with fractional finance team as needed
🧾 HR & Compliance
- Support onboarding and contractor agreements
- Assist with HR processes and document tracking
- Own light compliance work (e.g. NDA reminders, document audits)
📣 Marketing & Client Experience
- Schedule social media posts as needed
- Coordinate internal team events and celebration moments
🎯 General Admin & Special Projects
- Support miscellaneous admin and project-based tasks
- Jump in where needed to help the team succeed
🧭 Executive Support for the CEO
- Lightly organize and help with inbox and calendar
- Provide proactive reminders about hard deadlines
- Coordinate travel and logistics as needed
Who You Are
- 3+ years in a similar EA or Ops role (startup experience a plus)
- Confident managing sensitive information with discretion
- Incredibly organized and detail-oriented — nothing falls through the cracks
- Comfortable with tools like: Google Workspace, QuickBooks Online, Slack, Monday.com, Pandadocs / Docusign
- Strong written communication skills
- U.S.-based or able to work standard U.S. business hours
