Here's a Summary Of Responsibilities

Coordinate and provide support for key People & Culture business processes such as new hire onboarding, training, performance management, benefits, learning and development and talent acquisition. Ensure the integrity of HR data through accurate data entry, data validation, and maintenance of software and physical files. Perform a variety of general administrative and clerical duties including support to HR leadership, HRMS data entry, file creation and maintenance, background check administration and training/learning administration.

Here’s How You’ll Have An Impact

HR Information Duties – 50%

  • Perform accurate data entry in HRMS for new hires and create and maintain standard operating procedures for data entry processes.
  • Support the new hire process by ensuring the accuracy of new team member data. Verify that the new hire checklist is complete, create team member files
  • Maintain confidentiality of team member information, including all personal identifiable information, benefits information on elections and dependents, compensation and salary, and all other sensitive transactional information to which the role is exposed.
  • Manage the employment verification process for USOPC team members in defined situations and under the guidance of the People & Culture team including the documentation of requests and communication with external requestors.

Administrative Support – 50%

Compliance & Risk Management

  • Ensure employment law poster compliance, including maintaining current required postings in all USOPC locations and online.
  • Track and manage SafeSport training requirements, including monitoring completion and sending reminders.
  • Coordinate and process background checks for new hires, volunteers, temps, contractors, and other required groups, ensuring timely follow‑up and proper documentation.

HR Records, Systems & Document Management

  • Maintain team member HR files and ensure adherence to applicable retention requirements.
  • Upload and maintain new‑hire documents, forms, and required paperwork in the UKG Document Manager system.
  • Support ongoing file maintenance, including routine purging, archiving, and organizing as part of scheduled “Document Days.”
  • Handle incoming mail, scanning, and distribution of People & Culture–related documents.
  • Maintain and organize the People & Culture storage room and basement, ensuring materials are labeled, accessible, and orderly.

Learning, Development & Onboarding Support

  • Assist with Learning & Development administrative tasks, such as updating training logs or supporting program logistics.
  • Assist with coordinating team member events and activities.
  • Support onboarding‑related tasks, including ordering and shipping team member swag (new hire kits, employee gifting, etc.).

Employee Experience & Engagement Operations

  • Manage Colorado College ticket allocations and tracking.
  • Assist with coordinating team member events and activities (e.g., celebrations, engagement activities).
  • Ordering and shipping team member swag (new hire kits, employee gifting, etc.).

Cross‑Team Support & Special Projects

  • Assist across the People & Culture team with special projects.
  • Perform project work and other duties as assigned.

Here are the skills and experience you'll need to be effective:

  • Degree in business administration, human resources management, or related field or equivalent work experience.
  • 1-2 years of experience performing detailed data entry in an HRIS/payroll system in a professional office setting
  • 1-2 years of experience providing administrative support to management
  • Demonstrated ability to manage and maintain confidential information
  • Ability to produce high quality, error-free materials
  • Displayed attention to detail and high level of accuracy in data entry
  • Ability to drive for results and see work to completion
