The People & Culture Specialist plays a critical role in shaping and delivering a best-in-class employee experience across the organization. This role blends employee engagement, culture-building, and office operations with strong administrative execution. You will serve as a key partner to employees and leaders, ensuring IntelyCare runs smoothly while fostering an environment where people feel supported, connected, and empowered.

*This is a hybrid role working 2x a week at our Quincy, MA office. Remote candidates will not be considered for this position

Essential Duties & Responsibilities

Employee Experience & Engagement

  • Continuously improve employee experience programs across the full employee lifecycle (onboarding, engagement, development, off-boarding)
  • Partner with People leadership to drive culture initiatives aligned with company values and business goals
  • Lead employee engagement surveys, analyze results, and implement actionable plans
  • Plan and execute employee events, recognition programs, and team-building initiatives (virtual and in-person)
  • Act as a culture ambassador, modeling company values and fostering a sense of belonging

Office Administration & Workplace Experience

  • Oversee day-to-day office operations to ensure a welcoming, efficient, and well-functioning workplace
  • Manage office vendors, supplies, and budgets
  • Coordinate office logistics including space planning, seating, and workplace policies
  • Support hybrid/remote workplace initiatives to ensure consistency in employee experience

General Administration & People Operations

  • Maintain accurate employee records in ADP and ensure data integrity across P&C systems
  • Support P&C processes such as onboarding, off-boarding, and internal mobility
  • Partner cross-functionally with Finance, IT, and Operations on administrative and people-related processes
  • Improve and scale administrative workflows to support company growth and new initiatives
  • Administer unemployment claims by responding to state agency inquiries, submitting required documentation, and ensuring timely and accurate processing.
  • Partner with P&C leadership and managers to gather separation details, prepare supporting documentation, and assist with claim disputes and hearings as needed.
  • Serve as a point of contact for employee questions, concerns, and feedback, helping foster a positive and inclusive workplace

Workers’ Compensation

  • Support and process Workers’ Compensation claims, ensuring timely reporting, accurate records, and compliance with state-specific requirements.
  • Collaborate on leave and work restriction documentation, tracking employee status updates and ensuring proper file maintenance and confidentiality.
  • Maintain Workers’ Compensation logs, audits, and reporting to ensure compliance with internal policies and regulatory standards.

Qualifications

  • Professional experience in a corporate setting (high growth or start up environment strongly preferred)
  • 1-3+ years of experience in People Operations, Office Management, Employee Experience, or Office Administration roles preferred
  • Strong organizational and project management skills with high attention to detail
  • Proven ability to manage multiple priorities and execute in a fast-paced environment
  • Excellent interpersonal and communication skills
  • Experience planning events and managing office operations
  • Proficiency with HRIS systems and productivity tools (e.g., Microsoft Office, ADP)
  • Strong problem-solving mindset and a proactive, solutions-oriented approach
  • Adaptable and resilient
