About the role

We’re looking for an Operations Analyst to join our Media Operations team in Boston. This is a hands-on execution role — you’ll be the operational engine behind every campaign we run, from the moment an IO is signed to the final delivery of assets to the client.

You’ll work closely with the Customer Success team throughout every campaign, serving as the execution arm that ensures what was promised to the client actually happens — on time, accurately, and without the CS team having to chase. You’ll also manage relationships with vendors, photographers, and internal stakeholders across multiple concurrent campaigns.

You’re the person who catches the spec error before it becomes a missed install. You’re the one who follows up with the vendor before anyone has to ask. You keep things moving. This role sits at the intersection of process, communication, and execution. What you'll do

Campaign Execution

  • Own the end-to-end campaign lifecycle from IO signing through final asset delivery
  • Build and maintain campaign folders in Google Drive — specs, examples, creative uploads, POP shells — per line item and format
  • Generate and QA insertion orders before they go to clients; ensure all details are accurate
  • Submit creatives to vendors before drop-dead dates and confirm receipt

Vendor Management

  • Send and manage booking requests across all vendors on a campaign
  • Cross-check vendor contracts against internal grids — unit IDs, flight dates, costs, SOV%
  • Collect, white-label, and organize specs and example images from vendors
  • Follow up proactively to confirm launches, collect POPs, and resolve any issues

Launch Day & Post-Launch

  • Confirm every campaign is live on launch day — and flag anything that isn’t immediately
  • Collect and review beauty shots and sizzle reels from vendors and hired photographers/videographers
  • Deliver final assets to CS within SLA so the client gets them on time
  • Track and document issue resolution end-to-end in HubSpot

Process & Operations

  • Follow and maintain SOPs for every step of the campaign lifecycle
  • Keep HubSpot deal records current throughout the campaign
  • Identify repetitive tasks and work with the team to automate or systematize them
  • Support onboarding calls and coordinate with CS on any ops-related client questions
  • Explore and apply AI tools to automate or streamline repetitive workflows across campaign management, file organization, and vendor communication
  • Bring ideas to the team on where technology can save time and reduce manual effort

What we're looking for

  • Experience in operations, campaign management, or project coordination — whether through internships, co-ops, coursework, or early career roles
  • Proven ability to manage multiple concurrent projects with competing deadlines
  • Strong written communication skills — clear, professional, and timely
  • Highly organized with strong file management and process discipline
  • Comfortable working across tools: HubSpot, Google Drive, Slack

Nice to have:

  • Experience in OOH, media, advertising, or marketing services
  • Familiarity with automation tools (Zapier, Make, or similar)
  • Experience coordinating with photographers or videographers
  • Comfortable with DocuSign and contract workflows
  • Basic design skills (Canva or similar) for formatting client-facing documents
  • Familiarity with AI tools (ChatGPT, Claude, Notion AI, or similar) and a comfort with incorporating them into day-to-day work
