About The Role

OpenLoop is looking for a Clinical Recruiting Operations Analyst to join our team remotely or at our headquarters in Des Moines, IA.

In this role, you will be responsible for organizing and maintaining ongoing analysis and reporting of clinical recruiting activity, through use of the clinical recruiting team applicant tracking system and other tools. This role focuses on maintaining accurate data and delivering high-quality insights that validate provider staffing alignment with business needs. This position acts as a bridge between clinical recruiting strategy, workforce planning, and operational goals. The ideal candidate brings years of knowledge and successful experience, designed to provide quality and accurate data, in a fast-paced clinical staffing environment.

What You’ll Do:

  • Organize, maintain, and deliver ongoing analysis and reporting on all clinical recruiting activity using the ATS and related tools.
  • Analyze clinical recruiting data to validate that provider staffing levels align with current and projected business needs.
  • Maintain accurate, complete, and up-to-date provider and recruiting data within the applicant tracking system and supporting platforms.
  • Support workforce planning efforts by tracking provider pipeline status, availability, and allocation across different areas of the business.
  • Create, maintain, and optimize recruiting templates, tools, and workflows to ensure reporting captures both high-level trends and detailed, activity-level insights.
  • Partner with Human Resources teams in creating recruiting templates, system tools and interview frameworks, designed in legally compliant interview practices.
  • Develop and maintain dashboards and standardized reports that translate recruiting data into clear, actionable insights for stakeholders.
  • Serve as the clinical recruiting subject matter expert, with regards to managing and administering the applicant tracking system, including user management, system configurations, and training for recruiters and stakeholders.
  • Respond to urgent, ad-hoc data and reporting requests in a fast-paced clinical staffing environment while maintaining data quality.
  • Partner with clinical recruiters, operations, and leadership to ensure recruiting data and insights support strategic and operational decision-making.
  • Collaborate with onboarding teams, i.e. credentialing, HR, and operations by providing recurring updates on provider hiring status, to ensure onboarding milestones are being met.
  • Other duties as assigned.

Who You Are:

  • Bachelor’s degree in Human Resources, Business, Analytics, Healthcare Administration, Psychology, or a related discipline required (or equivalent experience).
  • 5 years of experience in recruiting operations, HR analysis, workforce analytics.
  • Strong analytical skills with experience building dashboards, reports, hiring workflows and workforce metrics
  • Demonstrated ability to analyze provider headcount, pipeline health, and allocation to align staffing with business needs
  • Proven experience with creating, updating and maintaining various recruiting templates, tools, and workflows to support clinical recruiting operations
  • Advanced / Administrator level experience with an Applicant Tracking System (ATS), including user management, workflow configuration, data integrity, and end-user training
  • Experience working with HRIS platforms and related recruiting, onboarding, and reporting tools (Greenhouse, and/or Ashby highly preferred).
  • Ability to translate complex data into clear, actionable insights for operational and leadership audiences.
  • Understanding of clinical staffing workflows, including onboarding, credentialing handoffs, and start-date readiness.
  • Experience working with cross-functional teams, of varying levels and communication styles.
  • Excellent and clear communication skills, both written and verbal.
  • Ability to excel and thrive in a fast-paced, high-growth or startup environment with shifting priorities and urgent requests.
  • Comfortable managing pressure while maintaining quality and compliance.
  • Experience supporting clinical or healthcare recruiting operations, including medical providers across multiple roles or specialties.
  • Strong proficiency in Excel or Google Sheets is highly preferred
  • Former experience as a clinical recruiter is a plus.
