Outreach is seeking an Event Marketing Operations Associate to power the operational infrastructure behind our global event portfolio. This role will help scale and streamline the systems, processes, and financial operations that support more than 75+ annual programs, including third-party conferences, field marketing activations, and proprietary events.
Working closely with the Director of Global Events, Marketing Operations, Finance, and cross-functional marketing teams, this role will ensure event programs run smoothly behind the scenes by managing procurement workflows, vendor onboarding, contract administration, marketing systems coordination, and project management infrastructure.
This position is ideal for someone who enjoys building structure, improving processes, and ensuring complex programs run efficiently at scale.
Key Responsibilities
Event Program Operations & Project Infrastructure
- Build and maintain Asana project frameworks for third-party events, field marketing programs, and proprietary events to ensure consistent execution across the portfolio.
- Create scalable project templates, timelines, and task structures that support multiple concurrent events.
- Coordinate cross-functional workflows across marketing, creative, brand, demand generation, and sales teams to ensure milestones and dependencies stay on track.
- Serve as a central operational partner for event program managers, ensuring visibility into deliverables, deadlines, and ownership.
- Maintain documentation and operational playbooks for event execution processes.
- Maintain the master event calendar and program tracker to ensure visibility across marketing leadership and cross-functional teams.
Procurement, Vendor Management and Contracts
- Support the procurement lifecycle for event vendors including vendor onboarding, contract routing, and internal approvals.
- Partner with legal, procurement, and finance teams to ensure contracts, SOWs, and vendor agreements are processed efficiently.
- Track contract status, payment terms, and key deadlines to ensure vendor obligations are met.
- Coordinate vendor setup within internal procurement and finance systems.
- Maintain vendor documentation and assist with RFP coordination and vendor evaluation processes when needed.
Budget, Finance and Invoice Management
- Manage invoice processing, PO tracking, and payment coordination with finance and vendors.
- Maintain accurate financial documentation for event programs including contracts, invoices, and reconciliation records.
- Assist with post-event financial reconciliation and reporting.
- Help ensure event spend aligns with approved budgets and procurement guidelines.
Marketing Operations and Event Technology
- Partner with Marketing Operations to support event registration workflows, campaign tracking, and attendee data management.
- Ensure accurate attendee data capture, lead tracking, and post-event data flow into marketing and sales systems.
- Support reporting workflows by helping maintain consistent event data and performance tracking.
Who You Are
- 3+ years experience in event operations, marketing operations, project management, or event marketing, preferably within B2B SaaS, technology, or high-growth organizations.
- Highly operational and process-oriented, with strong attention to detail and the ability to manage multiple workflows simultaneously.
- Experience coordinating vendor contracts, procurement processes, and invoice management.
- Comfortable working with project management platforms such as Asana or similar tools.
- Familiarity with marketing and event technologies such as Salesforce, Marketo, Cvent, or Bizzabo preferred.
- Strong communicator who enjoys working cross-functionally across marketing, finance, legal, and sales teams.
- Ability to thrive in a fast-paced environment supporting a high volume of events.
- Limited travel required, with occasional travel to support major flagship events.

75000 - 950000 USD a year
The annual base salary range for this role is $75,000-$950,000 USD. You may also be offered incentive compensation, bonus, restricted stock units, and benefits. Actual compensation is based on factors such as the candidate's skills, qualifications, and experience. We also have a location-based compensation structure; there may be a different range for candidates in other locations
