Qualifications

  • Must be highly organized and detail-oriented
  • Strong written communication skills (clear, professional emails)
  • Comfortable managing multiple tasks and deadlines at once
  • Reliable and consistent — able to follow through without reminders
  • Experience with admin, operations, coordination, or similar roles preferred
  • Comfortable using tools like Google Sheets, email, and basic web tools
  • Experience leveraging AI to automate tasks (ChatGPT, Claude Cowork, etc.)
  • Available at least 15 hours/week

We partner with schools and organizations across Chicago and Boston to run out of school time programs in music, game design, movie making and AI literacy. As we scale, we're looking for someone professional to help us keep everything running smoothly behind the scenes — making sure our programs, teachers, and school partners stay organized and supported.

Responsibilities

1) Coordinate Active Programs

  • Track status of all programs (registration, staffing, scheduling)
  • Ensure programs are moving forward and on track
  • Flag risks early (low enrollment, missing info, etc.)

2) Manage Communication & Follow-Ups

  • Send follow-up emails to schools, teachers, and partners
  • Check in on registration numbers and program updates
  • Coordinate logistics (dates, rosters, classroom details)

3) Support Teacher Coordination

  • Help assign teachers to programs
  • Confirm schedules and availability
  • Follow up on onboarding requirements (background checks, documents)

4) Monitor Enrollment & Trigger Actions

  • Track student signups across programs
  • Identify low-enrollment classes and flag next steps
  • Support simple marketing actions (follow-ups, reminders, etc.)

5) Keep Systems Updated

  • Maintain accurate records across programs
  • Update internal trackers and ensure tasks are completed
  • Keep everything organized and moving forward
