Rezilient Health is seeking a dynamic and experienced Clinical Operations Manager to oversee the day-to-day operational management of our CloudClinic locations. Reporting to our Head of Clinical Operations, the Clinical Operations Manager will be instrumental in ensuring the efficient, effective, and patient-focused delivery of care across multiple CloudClinic sites. This role involves direct management and leadership of Lead Medics, driving operational excellence, project managing clinical tasks, implementing and improving clinical processes, standard operating procedures, and collaborating with the product team to shape future clinical workflows through technology.

Key Responsibilities:

Operational Management:

  • Provide strong leadership and direction to Lead Medics across all assigned CloudClinic locations.
  • Coordinate with Lead Medics to ensure all aspects of daily operations, including patient flow, scheduling, staffing, supply management, quality assurance, and facility maintenance, ensuring smooth and efficient clinic functioning.
  • Develop, implement, and monitor operational policies, procedures, and workflows to optimize efficiency and compliance.
  • Proactively identify and resolve operational challenges and implement solutions to improve performance.
  • Manage and monitor key performance indicators (KPIs) related to clinic operations, patient satisfaction, and team performance.

Team Management and Development:

  • Directly manage, mentor, and develop Lead Medics, fostering a positive and collaborative work environment.
  • Conduct regular performance reviews, provide constructive feedback, and identify opportunities for professional growth and development within the team.
  • Support Lead Medics in the recruitment, onboarding, and training of site specific staff.
  • Promote effective communication and teamwork across all CloudClinic locations.
  • Address and resolve team conflicts and performance issues in a timely and effective manner.

Clinical Project Management:

  • Take ownership of project managing clinical tasks related to patient care initiatives across CloudClinic locations.
  • Develop project plans, timelines, and resource allocation strategies for clinical projects.
  • Monitor project progress, identify potential roadblocks, and implement solutions to ensure timely and successful completion.
  • Communicate project updates and outcomes to relevant stakeholders.

Technology Collaboration:

  • Ensure that new technologies align with current and future clinical workflows and enhance the delivery of patient care.
  • Participate in the testing and implementation of new technological solutions within the CloudClinic environment.

Financial Oversight and Resource Management:

  • Assist in the development and management of clinic budgets, ensuring responsible resource allocation.
  • Monitor expenses and identify opportunities for cost optimization without compromising quality of care.
  • Oversee inventory management and procurement processes for supplies and equipment.

Patient Experience:

  • Champion a patient-centric culture, ensuring a positive and seamless experience for all patients.
  • Monitor patient feedback and implement strategies to enhance patient satisfaction.
  • Collaborate with clinical leadership to ensure the delivery of high-quality care and adherence to clinical protocols.
  • Participate in quality improvement initiatives and contribute to the development of best practices.

Stakeholder Collaboration:

  • Serve as a key point of contact for communication between CloudClinic locations and central administrative functions.
  • Collaborate effectively with other departments, including IT, People Operations and Growth.
  • Build and maintain strong relationships with internal and external stakeholders.

Strategic Support and Growth:

  • Contribute to the development and execution of strategic initiatives for the CloudClinic network.
  • Identify opportunities for operational improvements and expansion.
  • Participate in the planning and implementation of new CloudClinic locations or service offerings.

Qualifications:

  • Bachelor's degree in Healthcare Administration, Business Administration, or a related clinical field.
  • 5-8 years of progressive experience in healthcare operations management, preferably in a multi-site or clinic setting.
  • Demonstrated experience in directly managing and leading teams.
  • Proven ability to project manage clinical tasks and initiatives.
  • Experience in implementing and improving clinical processes in collaboration with medical professionals.
  • Understanding of the intersection of technology and clinical workflows.
  • Strong understanding of healthcare regulations, compliance standards, and quality improvement principles.
  • Excellent organizational, problem-solving, and decision-making skills.
  • Exceptional communication, interpersonal, and relationship-building abilities.
  • Proficiency in healthcare technology and electronic health record (EHR) systems.
  • Ability to analyze data and generate reports to drive operational improvements.
  • Experience with budget management and financial oversight.
  • A proactive and results-oriented approach with a strong focus on efficiency and quality.
  • Ability to travel to multiple CloudClinic locations as needed.
