Job Description

JOB TITLE: Registrar

WAGE/HOUR STATUS: Nonexempt

FUNDING SOURCE: (e.g., Local, Title I, State Comp Ed, etc.)

REPORTS TO: Campus Principal

PAY GRADE: Salary Schedule Para 050 (225 Days)

DATE REVISED: September 2022

A Letter of Assurance will be issued for this position.

PRIMARY PURPOSE: To assure efficient and accurate maintenance of student transcripts

and permanent records

Qualifications

Minimum Education/Certification:

  • High School Diploma
  • Valid Texas paraprofessional certification

Special Knowledge/Skills

  • Proficient skills in keyboarding, word processing, spreadsheets, and databases
  • Effective communication and interpersonal skills
  • Good organizational skills

Minimum Experience

  • Adequate knowledge of the school credit system and courses offered
  • General clerical experience
  • Experience working with students and parents

Major Responsibilities And Duties

  • Collect and distribute student records and transcripts.
  • Assist with enrolling new students and pre-registering continuing students.
  • Evaluate records for incoming, transferring, or reentering students from school districts other than Irving. This includes translating grades and credits, which will require communication with the individual.
  • Transfer new student records onto the Academic Achievement Record (transcript). Input each course, grade, and credits into the Irving Student Information System for all new students.
  • Maintain TREx implementation.
  • Process requests for official transcripts of current and former students.
  • Ensure a high level of service to the public through timely and accurate transfer of information required for college admission, military, and job interviews.
  • Maintain permanent folders.
  • Ensure confidentiality of student information.
  • Perform other duties as requested by the administration or the counseling office.

Working Conditions

Mental Demands/Physical Demands/Environmental Factors: Must maintain emotional control and exercise reasoning and problem-solving skills while under stress. Must demonstrate ability to communicate effectively (verbal and written). Often works with frequent interruptions. Accuracy in preparing and proofreading written documents. Should be able to interpret procedures and analyze data for decision-making. Occasional in-district travel. In-state or national travel possible, but unlikely. Occasional prolonged and irregular hours.

Safety: Contribute to the prevention of accidents and injuries by observing safety rules and District policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidents immediately to supervisor, and being proactive in the ongoing efforts to improve and maintain workplace safety.
