PRIMARY PURPOSE: Facilitate the efficient operation of the Department of Learning Resources and the budgets for Digital and Learning Resources. This includes Library Services, Instructional Materials (Textbooks), Digital Learning, Badges, and the Ratteree Career Development Center.
Qualifications
Minimum Education/Certification:
- High School Diploma or GED
- Associate's Degree in Business, Accounting, or administrative assistant (or equivalent college hours) preferred
- Proficiency/Certification in Office programs, including Outlook, Word, Excel, PowerPoint, and MS 365
- Proficiency/Certification in using Google Apps for Education
- Proficiency in using Adobe Acrobat and Adobe Apps for Education
- Knowledge of general office equipment
- Knowledge of budget and accounting principles
- Ability to work well under pressure
- Ability to work simultaneously on several projects with frequent interruptions
- Ability to learn/use district software
- Proficiency in Munis Accounting Program
Three (3) years of clerical/secretarial experience or other equivalent experience or background.
Essential Job Functions
- Perform administrative duties for the Director of Digital Learning and Learning Resources.
- Provide administrative services to all staff in the Learning Resources department, including the Coordinator of Library Services, Instructional Materials Warehouse Manager, learning resources clerks, CTE teachers and staff at the Ratteree Career Development Center, and campus librarians as needed.
- Perform accounting and bookkeeping tasks following established district guidelines including, but not limited to, those related to instructional materials allotment, textbooks, library accounts, local accounts, digital learning funds, fixed assets, requisitions, purchase orders, media center fees, payroll, travel arrangements and the building activity account.
- Assist in compiling information for preparing various reports for the department, including Board Meeting agenda items and work order requests.
- Prepare correspondence, memos, reports, charts, schedules, contracts, resolutions, and legal documents as directed by the Director of Digital Learning and Learning Resources.
- Receive, record, and track progress of outside requests for data including public records requests on a regular basis.
- Monitor, process and submit personnel payroll reports to the central office as required.
- Maintain the scheduled use of the Ratteree Career Center and make requests to work with the city of Irving to meet compliance with emergency drills and other district-required emergency preparation.
- Assist with special projects and perform other duties as assigned.
- Assist Ratteree students, parents, and teachers and communicate with home campuses as needed.
- Support Ratteree students in complying with the current bus schedule and communicate with home campuses as special situations arise.
- Assist Ratteree CTE teachers with work orders for labs and classrooms.
- Schedule monthly fire and weather drills for the building, contacting district security and the building alarm company.
- Check in and direct substitute teachers at the Ratteree when a CTE teacher is absent.
- Ensure morning meal services are provided and contact Nimitz food services if there are any issues with morning breakfast.
- Assist Cardwell administrators with monthly emergency drills on a recurring basis (student counts, drill timing etc.)
- Receive orders for CTE, sign documentation, and send to the appropriate recipient.
- Sort mail, packages, and deliveries for Ratteree teachers and Learning Resources staff.
- Place work orders for the Ratteree Career Center as needed.
- Promote goodwill and effective public relations in all dealings with Irving ISD staff, students, parents, and patrons.
- Keeps informed of and comply with all state and district policies and regulations concerning primary job functions.

Working Conditions
Physical Demands/Environmental Factors: Must demonstrate the ability to communicate effectively (verbal and written). Frequent in-district and occasional in-state or national travel. Occasional prolonged and irregular hours.
Tools/Equipment Used: Standard office equipment, computer, multi-line phone system, copier, fax machine
Posture: Prolonged sitting and standing
Motion: Repetitive hand motions, prolonged used of computer
Lifting: Regular light lifting and carrying (less than 15 pounds); move small stacks of student files
Mental Demands: Must maintain emotional control and exercise reasoning and problem-solving skills while under stress; should be able to focus while performing tasks with frequent interruptions; should be able to interpret procedures and analyze data for decision-making.
Safety: Contribute to the prevention of accidents and injuries by observing safety rules and District policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidents immediately to the supervisor, and being proactive in the ongoing efforts to improve and maintain workplace safety.
