Position Overview

We are looking for a forward-thinking Procurement Specialist to manage RobotLAB's procurement activities with an AI-assisted approach. As our suppliers' main point of contact, the Procurement Specialist will be an integral part of our Operations team. This role encompasses the identification and acquisition of products currently in fulfillment, sourcing new suppliers, ensuring purchased products meet technical specifications, negotiating purchase terms, and maintaining strong vendor relationships.

The ideal candidate brings not only proven procurement expertise but also a working knowledge of AI tools and automation platforms that can drive procurement efficiency, enhance data analysis, and reduce manual workload. Key Responsibilities

  • Research, identify, and evaluate prospective suppliers using both traditional methods and AI-powered sourcing tools.
  • Liaise with suppliers and project managers regarding product updates, delivery timelines, and order specifics.
  • Evaluate suppliers and products against key business criteria including cost, quality, lead time, and reliability.
  • Maintain order status accuracy within Salesforce, ensuring records are current and complete.
  • Prepare and issue purchase orders and supplier agreements.
  • Request quotes and negotiate purchase terms including price, quality standards, deadlines, and expectations.
  • Monitor supplier performance, identify risk, and resolve issues and concerns proactively.
  • Inspect and evaluate the quality of purchased items and address shortcomings with vendors.
  • Prepare reports and maintain accurate inventory and procurement records, leveraging AI or automation tools to improve reporting efficiency.
  • Use AI tools to analyze spend data, identify cost-saving opportunities, and forecast procurement needs.
  • Communicate proactively with internal teams regarding product changes such as end-of-life, restocks, backorders, and price increases.
  • Comply with all company policies, procedures, and regulatory standards.
  • Continuously identify opportunities to streamline procurement workflows using automation, AI assistants, or process improvements.

Required Qualifications

  • 2+ years of experience in procurement, purchasing, or a closely related role.
  • Demonstrated ability to leverage AI tools such as Claude, ChatGPT, Copilot, or similar platforms to improve workflow efficiency, analyze data, or draft correspondence.
  • Experience working with Salesforce CRM; ability to maintain data integrity and generate procurement reports.
  • Proficiency in Microsoft Excel for data analysis, cost tracking, and supplier comparisons.
  • Strong written and verbal communication skills with the ability to negotiate confidently.
  • Exceptional attention to detail and organizational skills.
  • Experience with Microsoft Outlook, Adobe Acrobat, and QuickBooks or similar platforms.
  • Ability to reliably commute to or relocate to Southlake, TX 76092 prior to start date.
  • English fluency required.

Preferred Qualifications

  • Familiarity with AI-powered procurement platforms or tools (e.g., Coupa, Zip, or similar).
  • Experience in a technology company, robotics, or AI-adjacent industry.
  • Background working in a startup or high-growth environment with evolving processes.
  • Comfort working with data visualization tools or dashboards to track procurement KPIs.
