Customer Service Representative

The Customer Service Representative (CSR) for the UptimeServices Repair Depot is the first point of contact for customers and partners. This role is responsible for answering incoming calls, managing inquiries, coordinating estimate approvals, processing invoices, and ensuring smooth communication between the front office and the depot team. The ideal candidate is professional, detail-oriented, and highly organized with a passion for delivering excellent service.
Key Responsibilities- Answer incoming calls and route or resolve inquiries related to service status, estimates, billing, and general questions.
- Communicate with customers regarding repair updates and service timelines.
- Manage estimate approvals by following up with customers and ensuring timely responses.
- Generate and send customer invoices through our internal system and follow up on outstanding payments.
- Maintain accurate and organized records of calls, customer notes, and transactions in HubSpot and other depot tracking tools.
- Coordinate with technicians and depot staff to provide customers with accurate job status updates.
- Process payments and assist customers with billing-related inquiries..
- Ensure a professional and welcoming experience for walk-in customers or vendor partners visiting the depot.
- Any other responsibilities that are assigned by the manager
- High school diploma or equivalent required; associate’s degree preferred.
- 2+ years of customer service or administrative experience, ideally in a repair, service, or logistics setting.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite, email communication, and CRM systems
- Ability to multitask and manage time efficiently in a fast-paced environment.
- Detail-oriented with a high degree of accuracy in data entry and invoicing.
- Team-oriented with a problem-solving mindset.
- Full-time, in-office role based at the UptimeServices Repair Depot.
- May require occasional extended hours during high-volume periods.
