The Coordinator's role is the network planner for the wedding industry — researching hidden gem venues and building relationships with them, screening local vendors to elevate the event experience, organizing different price points to present realistic budgets to clients. Job Description:
The On-site Day of Coordinator ensures seamless event execution by overseeing logistics, vendor coordination, and troubleshooting to deliver a flawless client experience on the event day.
The ideal candidate is analytical and creative, and is a “big picture” thinker with a knack for flawless execution! We’re looking for a rockstar coordinator with hospitality experience 🚀 who can help spread the word about the great opportunities and benefits to partnering with Wedy, develop and cultivate successful relationships with all of our venues, and help us launch and onboard new venues in markets.
What You Will Do:
- Provide on-site coordination for the day of the event, ensuring all logistics run smoothly.
- Manage transportation recommendations for guests, seating chart design, and event layout setup.
- Oversee logistics and manage rentals, ensuring all equipment and supplies are in place.
- Acquire liability insurance as required by the venue or vendors.
- Collaborate seamlessly with the lead planner, ensuring all vendor checklists are completed.
- Manage personal item/DIY charting, holding client meetings as needed.
- Provide 10 hours of dedicated day-of coordination services, including vendor coordination and ensuring vendors arrive on time with necessary resources.
- Act as the main point of contact for troubleshooting and resolving unexpected issues during the event.
- Oversee venue setup, decorations, and seating arrangements, ensuring all meet the client’s requirements.
- Conduct final checks before and after the event, ensuring the venue is left in the agreed-upon condition.
Your Experience and Skills Include:
- Bachelor's Degree with a keen eye for detail (preferred)
- Relevant hospitality background or work experience in events and event production
- Firm grasp of Excel and Canva
- Superior verbal and communication skills with the ability to work fluently and confidently across multiple time zones and communication channels
- Experience with testing new channels and exploring new strategies and tactics to scale existing channels
- Strong analytical skills and ability to use data to derive campaign insights and optimize performance
Nice to Haves:
- Demonstrated strategic thinking skills and an ability to turn a brand strategy into a narrative that is relevant to vendors and partner audiences.
- Obsessed with growth and building things while not being afraid to get your hands dirty.
- Solid understanding of testing approaches including A/B tests as well as incrementality tests.
- Experience marketing to the wedding industry audience and familiarity with the startup ecosystem.
- A startup mentality with a bias to action and the ability to flex in a fast-paced environment.
- A natural hustler with a contagious “can-do” attitude.
