Solutions & Sales Operations Specialist — Unifize
Function: Sales & Solution Operations
About Unifize
Unifize is an enterprise-grade AI-first operating system built for regulated operations, quality, and product development.
We unify the core functions that power regulated manufacturing — Quality (QMS), R&D, Manufacturing, and Maintenance (CMMS) — into one collaborative AI platform.
Our mission is to help manufacturers accelerate product development, improve compliance, and drive operational excellence through intelligent, cross-functional collaboration.
About the Role
We’re looking for a Solutions & Sales Operations Specialist to drive operational excellence across the sales and solutioning lifecycle. In this highly cross-functional and detail-oriented role, you’ll work behind the scenes to ensure every deal is supported by timely, complete, and standardized sales enablement materials, risk analysis, documentation, and process clarity.
You will play a vital role in streamlining coordination between Sales, Solution Engineering, Implementation, Product, and Legal — owning the systems, processes, and documentation that enable smoother demos, faster deal closures, and consistent handoffs.
Core Objective
Empower Solution Engineers and Sales teams to move faster and more predictably, reducing friction across the entire sales cycle. Ideate and develop processes and systems to help build the teams and scale from the ground up. Execute consistently and reliably to deliver consistent outcomes and manage operational projects.
Key Responsibilities
1. Sales Enablement & Preparation
- Maintain a centralized library of sales enablement assets (case studies, ROI/TCO calculators, demo videos, compliance responses).
- Create and distribute pre-demo prep sheets with deal-specific background, personas, and context.
- Support creation and updates of templates for SOWs, proposals, and internal tools.
- Track content needs based on recurring prospect questions and update the asset roadmap.

2. Request & Risk Management
- Own and maintain the risk tracking system for all sales commitments.
- Ensure all sales requests (via Notion/issues) are logged and resolved on time.
- Perform preliminary risk analyses for each opportunity — including scope gaps, compliance blockers, and dependency risks.
- Review vendor assessments, compliance docs, and quality agreements.
- Create and manage OBFs (opportunity briefing forms) for requested deals.

3. Sales-to-Implementation Handoff
- Compile and version-control handoff packages: SOWs, risk summaries, and account intelligence.
- Validate documentation completeness before deal closure.
- Coordinate alignment between Sales, Solution Engineering, and Implementation on post-sale expectations.

4. Process, Reporting & Operational Hygiene
- Build and optimize internal SOPs across Sales and Solution workflows.
- Conduct retrospectives after custom demos and sales calls to gather insights.
- Maintain an updated repository of FAQs, demo retros, and process issues.
- Track SLA adherence for sales request turnaround and risk resolution.
- Support internal reporting on operational bottlenecks, content usage, and documentation quality.

What Success Looks Like
- Sales and Solution teams are consistently supported with updated, relevant, and organized documentation.
- All deals have clear visibility into risks, commitments, and documentation before handoff.
- Pre-demo and enablement processes are proactive, standardized, and efficient.
- Internal stakeholders feel confident in the quality and consistency of sales operations.
- No sales request or compliance document falls through the cracks.

What We’re Looking For
- 2–4 years of experience in Sales Ops, Solution Ops, Pre-sales Coordination, or Sales Enablement within a SaaS or B2B environment
- Exceptional organizational and documentation skills
- Strong understanding of sales cycles, technical pre-sales needs, and compliance workflows
- Hands-on experience with tools like Notion, Google Workspace, CRM, or ticketing platforms (Salesforce, Freshdesk, Intercom, etc)
- Process-driven mindset and an eye for identifying friction or inefficiencies
- High attention to detail, strong accountability, and the ability to manage multiple parallel workflows
- Strong communication and project management skills across diverse stakeholders
